The Perioperative Services Administrative Assistant actively participates in the administrative affairs and functions of Perioperative Services. This role is responsible for providing administrative support for the Nurse Manager, Patient Flow Supervisors, Service Coordinators, and Lead Surgical Technologists by performing a wide range of tasks designed to facilitate objectives and accomplishments of the department. This role communicates and collaborates with Anesthesia providers, surgeons, and nursing team members to produce an accurate daily patient procedure/surgical schedule in conjunction with maintenance of departmental records and files.
The Perioperative Services Administrative Assistant is expected to maintain all state and federal clearances for DE, PA, and NJ for periodic rotation to the Nemours Children's Hospital and surgery centers in NJ and PA to optimize available resources in achieving optimal patient outcomes. Travel is compensated based on organizational policy.
This position requires working shifts aligned with the needs of the department and the assigned FTE of the Perioperative Services Administrative Assistant.
Demonstrates expertise in navigating computer software programs in coordinating patient procedures/surgical interventions according to standard work/reliable methods. Collaborates with the Perioperative Nurse Managers, Patient Flow Supervisors, Service Coordinators, Lead Surgical Technologists, Anesthesia Coordinators, and Surgical Administrative Secretaries to develop and produce an accurate daily schedule in a timely manner.
Responsible for detailed and accurate interdepartmental/intradepartmental communication to facilitate efficient processes and resolve outstanding issues to include distribution/receipt of interoffice mail.
Responsible for creating/maintaining meeting minutes/agendas and supporting materials as requested by the Perioperative Nurse Manager-OR.
Responsible for initiating/composing correspondence and reports, while maintaining departmental data using multiple computer applications.
Responsible for submitting payment request forms for signature and forwarding to Accounts Payable.
Responsible for maintenance of repair logs using work orders/maintenance requests to manage repairs/equipment and coordination of environmental repairs in cooperation with the appropriate facilities teams.
Responsible for maintaining stationary/office supplies and maintenance of the perioperative lounge/conference room with the corresponding dining supplies.
Responsible for maintaining/supporting cellular devices for perioperative team members to include correspondence with cellular providers/intermediaries.
Responsible for active participation in the planning and achievement of the department objectives and goals, supporting the Perioperative Management Team in the completion of special projects.
