A working supervisor role providing support and oversight for corporate supply chain activities at all campuses. Facilitates processes for streamlined, reliable and efficient supply replenishment and procurement for all departments. Oversees warehouse operations, distribution, courier, mail processing, shipping / receiving and linen services. Provides supervision for staff including performance evaluations, progressive discipline, counseling and scheduling. Ensures shift assignments are carried out, customer service and relationships are addressed and quality assurance monitoring is in place and managed. Problem solves utilizing multiple systems and provides oversight, rounding and data integrity. Is cross trained in all functions and provides on call coverage on a rotating basis. Reports to the Manager for corporate Logistics and Supply Chain.
Principal Duties: 1. Distribution
Directly oversees the par leveling of shift assigned units and ensures appropriate par replenishment.
Provides quality assurance oversight and documentation for assigned distribution areas routinely.
Analyzes par levels to adjust via customer service needs.
Utilizes the MMIS system produce charge codes.
Responsible for the cleanliness, quality and updates of all distributed areas (point of use, par carts, etc.)
Oversees the management of expired supplies.
2. Warehouse Management
Assigns and conducts cycle counts routinely at all warehouse locations. Provides support to research and correct any discrepancies.
Supports perpetual periodic inventory counts.
Assists in putting away supplies and assigning supply stocking.
Reviews assigned areas for "dead stock" and adding of stock items
Reviews the shift log of "calls" and "walk in" requests to optimize par levels and reduce monthly.
Ensures the warehouse is clean and in compliance with regulatory guidelines.
3. Linen
Ensures linen areas are replenished and stocked for customer use.
Oversees and ensures linen data management is utilized by staff.
Reviews assigned areas for linen management issues and adjusts par levels accordingly.
Oversees the stocking of scrubs and supports scrub data management system.
Ensure staff is meeting regulatory requirements for clean and soiled linen handling.
4. Shipping and Receiving
Able to ship and receive products.
Ensures all receipts are complete on the shift.
Reviews exception queue with staff assigned to receiving weekly.
Responsible for the cleanliness and security of the receiving area.
5. Mail Services & Courier
Ensure all mail is stamped and sent out timely.
Oversee and ensure all incoming mail has been sorted daily.
Provide guidance and supervision to the courier services.
Ensure all courier orders are prepared and ready for delivery.
6. Staffing
Prepare monthly staff schedules.
Attend staff meetings and participate as a leader; hold meetings in absence of manager.
Train and document staff training on systems and processes.
Assist in ensuring compliance with annual requirements for staff.
7. Customer Service
Provide on-call support to customers while on campus.
Rotate on-call weekends with manager.
Troubleshoot issues and concerns with customers
Proactively approach customers with solutions / queries.
