General Description of the Job Class
The Digital Image Management Associate is responsible for managing digital images (PACS/EHR), supporting clinicians and patients by ensuring accurate, confidential, and timely handling of radiology records. This role is essential for maintaining the integrity of patient data and facilitating smooth radiology workflows within the health system.
Duties and Responsibilities of this Level
Duties and Responsibilities Level I:
Image Management: Organize, store, retrieve, and distribute digital images using PACS, multiple images sharing platforms, and other media.
Data Entry and Processing: Obtain and document ROIs, update records, merge images, and handle import/export requests using PACS, and EHR systems.
Customer Service: Communicate professionally with clinicians, patients, and external facilities regarding image management needs.
Technical Tasks: Upload/Export/Transfer images using PACS, multiple images sharing platforms, and physical media. Verify accuracy of images, study labels, and correct image count for image management. Troubleshoot equipment and administrative errors. Perform quality control.
Workflow Support: Triage calls, relay urgent patient information to ED/Trauma/Transfer/Vascular Surgery, Radiologists, and other providers. Complete STAT Image transfers surgical and emergent patient care.
Compliance: Obtain and validate ROI's, adhere to patient confidentiality (HIPAA) and safety regulations, Right to Access, HITECH Act, other Federal and State regulations, and all DUHS Policies.
System Operations: Utilize EHR, PACS, and other applications to access reports, process orders, and manage image transfers.
Quality Assurance: Maintain auditing and tracking tools for imported/exported image data and ensure accuracy in patient demographics and order information. Perform quality checks per departmental policy designed to mitigate wrong events (i.e. confirm patient ID with 3 identifiers, verify image count, confirm correct study labels, read pop- up messages, etc.).
Team Collaboration: Coordinate with outpatient clinics, inpatient units, and emergency departments; communicate effectively with all staff levels.
Problem Solving: Troubleshoot slow image transfers and equipment issues, submitting timely service requests, reporting on shift hand-off sheets, and accessing Teams.

Expanded role. Responsible for workflow optimization, quality assurance, and advanced troubleshooting. Must meet and maintain all competencies and qualifications required at Level I.
Scope of Responsibility: Focuses on workflow optimization, quality assurance, and advanced troubleshooting at an individual or team member level.
Technical Expertise: Demonstrates advanced knowledge of PACS, EHR, and QA/QC protocols.
Project Management: Contribute to process improvement.
Regulatory and Compliance: Ensure compliance with protocols.
Duties and Responsibilities Level III:
Expanded role encompassing direct patient care, frontline leadership, workflow optimization, quality assurance, process improvement, advanced troubleshooting, and oversight of regulatory compliance. Must meet and maintain all competencies and qualifications required at Level I and Level II. Additionally, this position supports departmental process improvement initiatives and ensures ongoing adherence to regulatory standards.
Leadership: Provide frontline oversight, lead initiatives, and is accountable for strategic improvements and outcomes across the department.
Scope of Responsibility: Oversight of team members, leads initiatives, and is accountable for strategic improvements and outcomes across the department.
Technical Expertise: Possess expert-level knowledge, manages complex system integrations, and resolves high-level technical issues.
Leadership and Project Management: Lead projects, manages change, and is responsible for staff development and performance.
Regulatory and Compliance Oversight: Develops, audits, and enforces compliance strategies across teams or the department.
Required Qualifications at this Level
Education
High School Diploma or GED or equivalent required for all levels. Associate's degree preferred.
Experience
Level I: minimum one year experience in healthcare, radiology/imaging, PACS support, or customer service.
Level II: minimum of two years in Digital Image Management. Advanced knowledge of PACS, EHR, and digital imaging platforms. Experience with QA/QC protocols and regulatory compliance.
Level III: minimum four years' experience in Digital Image Management. Expert-level knowledge of PACS, EHR, cloud-based imaging platforms, and regulatory standards. Proven leadership, project management, and training experience.

Knowledge, Skills, and Abilities
Technical: Skilled in using EHR, PACS, advanced image sharing systems, image record recording systems such as CD burners, as well as possessing solid general computer abilities (Windows, MS Office, etc.).
Interpersonal: Effective communication, proper phone etiquette, and team collaboration.
Knowledge: Demonstrates proficiency in medical terminology, anatomy, as well as imaging examinations and procedures.
